How to Generate a Fees Due Statement Report
The Fees Due Statement (also called a Record Fee Statement) lists all fees currently due on an application or permit record. This article explains:
What Is the Fees Due Statement Report?
This report provides a list of unpaid fees on your permit, including:
- Permit information
- Billed fees that are unpaid
- Unbilled fees that must be paid before the permit is issued
This report is often used to provide your Accounts Payable department with a summary of fees due for a specific record.
You may run this report before or after making a payment or anytime when reviewing fees on your permit.
What You Need to Know About the Report
- If there are no outstanding fees, the report will return no results.
- Previously paid fees do not appear on this report.
- Pending fees—such as issuance or use fees before a permit is ready to be issued—do not appear on the report until they are officially applied.

How to Run the Fees Due Statement Report
Step 1: Access the Seattle Services Portal
- Go to the Seattle Services Portal. Log in is not required.
Step 2: Open the Reports Menu
- In the top-right corner of the homepage, click Reports.
- Alternatively, the report can be run from My Records when logged in or on an open record.
- From the drop-down menu, select Fees Due Statement.
Step 3: Enter Record Information
- Enter the application or permit number in the Record Number field.
- Enter only one record number.
- If you are on a record, the field pre-populates with the record you are on.
Step 4: Submit the Report
- Click Submit.
Step 5: View or Download the Report
- The report opens as a PDF or on-screen document.
- You may download or print the report for your records.

- If you expect fees but do not see any:
- Confirm the record number entered is valid.
- If the record number is valid, there are no fees currently due.
How to Read the Fees Due Summary Report
This section explains how to read the information in the report and how to determine what the outstanding fees are for.

Permit Information
At the top of the report, you’ll see basic details about your permit:
- Statement Number – Unique identifier for the fee statement starting with the record number
- Record Number – The application or permit number the fees apply to
- Statement Date – When the report was generated
- Site Address – Location associated with the record
- Total Outstanding Fees - The current balance due for the record
- Bill To – The responsible party for payment
Always check this section first to confirm the report is for the correct permit and address.
Description of Charges (Fee Line Items)
This table provides a line-by-line breakdown of fees, including:
- Date – When the fee was assessed
- Fee – Type of charge (for example, Review Charge or Inspection Charge)

Accela Ref # – Internal tracking number
- Same as the "Invoice Number" on the permit
- Unit – Fee rate
- Quantity – Time charged, used to calculate fees (uses 15-minute increments)
- Amount – Cost for that specific charge
The TOTAL DUE at the bottom of the table equals the Total Outstanding Fees shown above.
Why Do I Still Owe a Balance?
You may see a remaining balance if:
- A payment has not yet been applied.
- Additional inspections or reviews were logged after your last payment.
Why Are There Multiple Review and Inspection Charges?
Multiple review and inspection charges may appear because each service is billed separately. If follow-up reviews or corrections were required, a separate charge will be listed for each review. Likewise, if additional inspections were necessary, each inspection will appear as its own charge on the report.
How Do I Pay My Fees?
You can pay your outstanding balance:
- Online through the Seattle Services Portal.

By mail, using the payment instructions listed on the report.
- Be sure to include the record number with your payment to ensure it is applied correctly.
