This article explains how to find, view, and print documents. Via the Seattle Services Portal, you have access to three categories of documents:
- Documents uploaded by you via the Seattle Services Portal
- Documents uploaded by Street Use Staff, such as Corrections
- Documents created by the system, such as your Permit or Inspection Result Report
IMPORTANT: If your application or permit was converted from the old permitting system, your converted record does not display all historical documents. For example, if your permit was issued before conversion (November 6, 2020 or earlier), you received an email from Street Use staff with your permit. Find this email to print your permit.
IMPORTANT: You must log into your Seattle Services Portal account and be a contact on the application or a delegate of one of the contacts to view documents, other than the permit. You do not need to log in to print a permit.
- Login to the Seattle Services Portal.
TIP: If you want to print your permit, you do not need to login. Skip this step and go to step 3.
IMPORTANT: If you do not yet have a Seattle Services Portal Account, you must register before trying to log in. The contact information you provide during registration must match the contact information we have on record for your application.
- Click on the Home tab.
- Find the permit you are looking for. If you are not logged in or not a contact on the permit, click Search All Records, or under Find Existing click Choose a category > Permits - Street Use (refer to How Do I Search Existing Records for more search tips). If you are logged in and a contact on the permit, you may search or locate your record in your My Records list by clicking My Records tab. Remember, if you are not logged in and a contact on the permit you can only view and print a permit; you are not able to view other documents.
- If your search results or My Records list displays multiple records, click the blue hyperlinked Record Number to open the record. If only one result is found via a search, your record opens automatically. Proceed to the next step.
TIP: In our example below, we see two records – our original permit and a completed amendment. Once an amendment is reviewed it is issued and closed, and changes are updated on the original permit. Refer to What Happens to Your Original Permit When an Amendment is Issued for more details.
- Click the Attachments tab.
- All your documents display in the Attachments tab. For records with many documents, there will be multiple pages. Links to these pages display at the bottom of the list. You can click on the column headers to sort the documents; for example, click on Type to sort the documents by Type.
IMPORTANT: If no documents display, and there is an "X" in your record number, this means your record was converted. Historical documents are not available in the new system. If you are logged in and cannot open documents, you are most likely not a contact on the record. Refer to Why Can't I Upload Documents or Make Changes to My Street Use Permit for next steps.
- To open a file, click on its blue hyperlinked Name. Files uploaded from the Seattle Services Portal have a file name that matches the type of document.
- Latest Update displays the date the document was uploaded.
- The Document Status displays the document’s status.
- Final approved documents display with a status of Approved.
- Old versions of documents display with a status of Archive.
Other statuses indicate the documents have been received, and the review is still in process.
- Your permit has a Type of Permit. The document Name looks like SU005_StreetUsePermit_20201112_105630.pdf. It always starts with SU005_StreetUsePermit followed by the date (YYYYMMDD format) and time (minutes, seconds, milliseconds). Minutes use a 24-hour clock so 13 is 1 PM, 14 is 2 PM, etc. In our example, the permit Name indicates that the permit document was created on November 12, 2020 at 10:56 in the morning, shortly after your permit was issued. There may be more than one permit document when there is an amendment. To find the most recent document, look for the most recent date and time in the document name.
TIP: If you are looking for an updated permit after your amendment is issued, go to your original permit (e.g., SUCON1234567 NOT SUCON1234567-A001). Refer to What Happens to Your Original Permit When an Amendment is Issued for more details.
- Your inspection report has a Type of Inspection Result. The document Name looks like SU016_StreetUseInspectionResult_20201112_111631.pdf. It always starts with SU016_StreetUseInspectionResult followed by the date and time the inspection was resulted.
- To view and print your document, click the blue hyperlinked name of the document you want to print and then follow your browser prompts to open the document. (Some browsers require the document be saved before opening.) Use the print option specific to your browser or PDF reader to print the document as you would any other PDF file.
